Preparing Your Team for Data Collection

Organise your team effectively to make data collection smooth and efficient.

Data collection for a CCF can involve multiple departments, from operations teams to procurement. Preparing your team and assigning clear roles can streamline the process, reduce errors, and ensure everyone knows what’s expected.

1. Identify Key Contributors

Start by identifying the departments or individuals responsible for each Scope:

  • Scope 1: often handled by facilities or maintenance teams.

  • Scope 2: often managed by finance or facilities.

  • Scope 3: often requires input from procurement and logistics teams, and suppliers.

2. Communicate Data Needs and Deadlines

Once roles are assigned, make sure each team understands what data they need to provide and when. Early communication helps ensure no one is caught off guard.

Tip: hold a kickoff meeting to walk through the data requirements and deadlines with each department, and share the Data Guide as an introductory resource.

3. Set Up a Centralised Data Collection System

Alongside the Data Collection Checklist, using a shared folder or digital platform can keep everyone organised and make it easier to track progress. This also simplifies the review process.

Tip: create a shared folder or use a collaborative platform where each team can log their data. Set permissions to allow everyone to view and add data but restrict editing access to avoid accidental deletions.

4. Establish Regular Checkpoints

Data collection can take time. Regular check-ins help teams stay on track and allow for early identification of any issues.

Tip: Schedule weekly or biweekly check-ins with each team to discuss progress, troubleshoot any issues, and answer questions. Ensure that each dataset has a person responsible for reviewing the data, and sense-check any quantities.
